General conditions for congress participants

The DGPPN has commissioned CPO HANSER SERVICE to organise and run the congress. Upon registration for the congress and confirmation thereof, a contract will come into effect between the congress participant and the DGPPN concerning participation in the congress and in events of the DGPPN Academy. This contract is based on the following general conditions.

Participation fees for the DGPPN congress and the DGPPN Academy

Participation in the congress and in DGPPN Academy events is subject to a fee. DGPPN Academy events will take place during the DGPPN congress. A separate fee will be charged for these events in addition to the congress fee.
A completed congress registration and a completed booking of services are binding for the participant.

Fees are to be paid in advance at the time of registration. The payer is responsible for any associated bank charges.

Cancellation of participation in the congress

If you cancel your participation in the congress and in events of the DGPPN Academy for Further and Continuing Education
by 31st August 2013, the participation fee will be refunded, less a processing fee of 25%. The participant is free to provide proof that the processing costs are below 25% of the participation fee. No refund will be made in case of cancellation after this date. Please notify the congress office of your cancellation in writing.

Visibility of your personal data to other users

By giving consent to the use and processing of personal data, all active participants agree that their name will be released and thus made visible to other users.

Changes to the programme

The DGPPN reserves the right to make necessary changes to the programme at short notice. No pro rata refund of participation fees will be made for  cancelled presentations or changes to the programme.

Changes to the programme of the DGPPN Academy for Further and Continuing Education
If workshops do not take place because the workshop speaker has cancelled, the participation fees for the workshops will be refunded. This will not apply – also not pro rata – if someone other than the originally named speaker conducts the workshops.

Loss of name badge

If a name badge, which entitles the holder to attend the congress, is lost, the full registration fee must be paid to acquire a new name badge.

Liability of the DGPPN

The DGPPN is the organiser of the scientific congress. It is liable within the scope of the laws of Germany. Its liability – regardless of the legal cause – is limited to cases of gross negligence and wilful misconduct. The DGPPN is, however, also liable for slight negligence if cardinal contractual obligations are breached.

General conditions specific to registration of contributions

Symposia

Symposia may be registered by a chairperson. No more than four speakers may be specified. The chairperson and speakers are not exempted from the participation fee.
The participation fee is due upon registration of a scientific contribution.
The DGPPN scientific committee reserves the right to omit from the congress programme contributions from speakers who have not paid the participation fee.

Oral presentations

Participants may register two oral presentations and/or, as first author, two posters. The speaker is then obliged to give the presentation at the congress. Registration of an oral presentation simultaneously means binding registration of the speaker to participate in the congress. The participation fee is to be paid upon submission of the oral contribution. If the contribution is rejected by the scientific committee or if the committee recommends submission of the contribution as a poster, the congress registration may be cancelled at no charge. In this case, the full participation fee will be refunded.
If the participant agrees to the contribution being accepted as a poster, the congress registration and associated fees will remain in place and participation fees will not be refunded.
If the author withdraws the contribution subsequent to acceptance by the scientific committee, the congress registration will remain in place and participation fees will not be refunded.

Posters

Participants may register two posters and/or, as first author, two oral presentations. The first author is obliged to present the submitted poster at the congress. Submission of a poster simultaneously means binding registration of the author to participate in the congress. The participation fee is to be paid upon submission of the contribution. If the poster is rejected by the scientific committee, the congress registration may be cancelled at no charge. In this case, the full participation fee will be refunded.
If the author withdraws the contribution subsequent to acceptance by the scientific committee, the congress registration will remain in place and participation fees will not be refunded.

Declaration concerning relationships with industry

When registering a contribution, every presenter and first author of a poster must submit a declaration concerning his or her relationships with industrial companies. This also applies to invited speakers. The form published by the DGPPN can be used to submit the declaration. The form can be completed on the congress homepage.

Every speaker is requested to inform the audience at the start of the presentation about his or her relationships with industry. It is recommended that speakers use the DGPPN’s PowerPoint chart for this purpose: www.dgppn.de

Equipment in rooms

All rooms are equipped with beamers and notebooks with DVD drives. Speakers who require additional technical equipment (e.g. video recorder, overhead projector, flipchart) can hire these at their own expense beforehand or – if available – on location at the congress office.
